j S CIVIC CULTURAL COMMISSION Minutes of Meeting September 1 , 1977 Page 2 AGENDA ITEM 2 - Committee Structure : ( Cont ' d ) This , then , left vacancies on the Community Art reworks Committee and on the Legislative Committee ° It was agreed that the new appointee who would be taking Commissioner Bergman ' s place would be assigned to these committees . Chairman Poncia then suggested that each committee prepare a meeting schedule for the purpose of discussing programs and objectives for the coming year . These meetings should be scheduled so as to mutually accommodate the committee members as well as the staff . It was pointed out by Mr . ,leeks that the staff should be in attendance at the committee meetings so as to assist and guide the committee members in their deliberations . It was pointed out that the committee should dis- cuss their projects and objectives and then return their sugges - tions to the Commission for review . The Commission would then adopt the mutually agreed upon objectives for the year , after which the committee would then be responsible for carrying out the implementation of the objectives . The committees were cau- tioned to consider objectives which would be attainable and which would be reasonably staffed and financed . Chairman Poncia volunteered to deliver to Commissioner Graycar the material which she possessed relative to the Historical Landmarks Committee , It was suggested that both Commissioner Poncia and Graycar attend the Historical Landmarks Committee meeting on September 22 , 1977 , after which Commissioner Graycar could continue with that committee ' s function ° Commissioner Graycar requested information concerning the past projects which the Commission had undertaken in the area of the performing arts . It was explained that in the past special com- mittees had been appointed to implement various activities in , the performing arts , the most recent being the Operalunch program. It was also pointed out that in past years there had been an arts and music festival presented together with a concert cosponsored by the Commission and the San Mateo Choral Society . These activi - ties have taken place at the Sequoia High School grounds as well as in the Sequoia High School auditorium° It was further pointed out that the files of the Commission , which are kept at the Par'. & Recreation Department ' s office , were available for review with respect to past projects , as well as other ideas and objectives which the Commission has taken under consideration in the past . Mr . Weeks urged the Commission to take advantage of these files and indicated they were available to the Commissioners at any time .
