35 | Page February 5, 2015 <br /> <br /> <br />Exhibit D <br />Animal Licensing Contractor Responsibilities <br /> <br />Animal Licensing Contractor shall provide the following services: <br /> <br /> Management of daily operations for animal licensing <br /> <br />Data Entry & Processing <br />Process correspondences from pet owners including, but not limited to, issuing tags. <br /> <br />Provide timely billing and renewal notices to pet owners, with at least one of the <br />notices to be printed on an 8-½ x11 sheet of paper and a return envelope is <br />enclosed. In addition, at least one of the notices will provide pet owner with the date <br />in which the late fee became due. <br /> <br />Provide data entry of both new and renewal licenses and vaccination information. <br />Implement procedures for verification of information submitted. <br /> <br />Ensure complete, unduplicated, and accurate information. <br /> <br />Process, collect, and provide receipts for animal licensing fees. <br /> <br />Provide licensing and vaccination data for a weekly transfer of data from the <br />Contractor’s database into County’s proprietary database. <br /> <br />Provide customer service including communication with citizens, veterinarians, and <br />designated County staff. <br /> <br />Issue service animal tags to County approved service animal owners. <br />Assist County staff in processing rabies exemption applications. <br /> <br />Veterinarians & Other Authorized Registrars <br />Process license sales and vaccination reports from other sources (i.e. the local <br />animal shelter, veterinary clinics, pet stores, etc.) <br /> <br />Assist County staff to ensure reasonable quantities of on-site of basic supplies <br />(reporting forms, vaccination certificates, citizen mailing envelopes, et.) necessary to <br />sell license tags and/or report information on citizens vaccinating their animals <br />against rabies. <br /> <br />Animal License Tags <br />Process and mail license tags within a maximum of 10 business days, with a <br />turnaround goal of 5 business days, after receipt of payment and completed <br />information as required by the local ordinance. <br />
