Project Communications <br /> The PM will manage Project communications among the team members, report specific <br /> information and performance metrics to City departments and management, <br /> disseminate information to stakeholders and the general public, and coordinate with City <br /> staff to obtain necessary assistance. <br /> The PM will be involved in face -to -face Project status meetings and Project team <br /> meetings, web or video conferences, phone calls, and e-mail, using customary <br /> guidelines and templates used by City. The PM will report Project performance and <br /> progress to City departments, management, and officials at key Project milestones. <br /> The PM will provide status updates to key stakeholders using e-mail in a customary <br /> format used by City. The PM will work with the City's public communications <br /> department to support its preparation and posting of Project status updates and <br /> documentation on the Project web page on the City's website. <br /> 3. Scope, Budget and Schedule Control <br /> Scope Control - The PM will use critical elements of the Project scope contained in the <br /> PA &ED consultant's agreement with City to manage and control the Project scope. The <br /> PM will continuously assess the variation from the baseline scope, including cause and <br /> degree and considering if corrective or preventive action is required. The PM will review <br /> and analyze potential changes required or requested, and process formal changes in a <br /> consistent, integrated change control manner. <br /> Schedule Control - The PM will use the PA &ED consultant's schedule to develop a <br /> summary-level baseline schedule statement, which in turn will reference the PA &ED <br /> consultant's detailed schedule. The PM will continuously assess the status of the <br /> Project schedule with respect to known and potential risks, and work to manage critical <br /> factors that might create schedule changes. This will be done in meetings with the <br /> PA &ED consultant that focus on detailed schedule performance relating to critical path <br /> items. The PM will rely on the PA &ED consultant to provide relevant, accurate reports <br /> to aid in this management process. Schedule variance will be a critical measure, <br /> combined with scope and budget variance, to express overall earned value progress <br /> versus time. The PM will expect the PA &ED consultant to consider resource leveling, <br /> what -if scenario analysis, adjustments to dependencies and durations, and schedule <br /> compression in determining appropriate and necessary course and schedule changes. <br /> The PM will review and analyze potential changes required or requested, including <br /> corrective or preventive measures, and process formal change requests in a consistent, <br /> integrated change control manner. <br /> Budget Control - The PM will use the PA &ED consultant's contract budget to compare <br /> the approved baseline cumulative cost distribution over time with actual cumulative <br /> Page 4 of 6 <br /> REV: 07 -1345 VR <br /> ATfY /AGR /2015 /AMENDMENTS /AMEND NO.2 <br />
