EXHIBIT "A" SCOPE OF WORK • Redwood Shores Library— Bogen system • Fair Oaks Community Center— Bogen system • Red Morton Community Center- .Bogen system 27.Phone-to-phone Paginq: Paging through the telephone handsets will be installed with up to 100 handsets per paging group. 28.E911: PFI will integrated the ShoreTel system with the E911 system supplied by Redwood City through TelePacific. 29.Music on Hold: Each user shall be capable of having a separate music on hold. The format of the music shall be .WAV or .MP3. A process will be provided by which City staff can record their own "music," so it can be City information instead of actual music. For example, hours of operations, upcoming city events, etc. Music on hold can be assigned to an individual, a group of extensions, a site, or City wide. 30.Encryption: The system shall be encrypted using 128-bit AES. 31.Active Directorv Inteqration: The system shall integrate and authenticate through the City Active Directory. The system must support "Single Sign On" with Active Directory for all the user interfaces (PCM, Director, Web user interface). When a user changes their password on the network, nothing has to be changed on the ShoreTel system. If not automatic, there must be an easy to use, two-way process to sync between Active Directory and ShoreTel Director. 32.Voice Messaqinq Svstem: ShoreTel voicemail shall be installed on a Windows 2008 or later Server in a VMWare environment connected to the City Ethernet network. Voicemail shall be available for each user. The voicemail system shall accommodate up to 10,000 voicemail users on a single system. 32.1. The ShoreWareT"' Voice Mail service shall be provided as a standard for all users (including unified messaging with Outlook). It shall require no additional hardware, consume no telephony ports, and storage shall be limited only by the size of the server hard disk. The system shall provide, at a minimum, 32.5 hours of voice storage per gig of hard disk space — and 254 simultaneous ports of access. 32.2. Users shall be able to record personal greetings, as well as manage their mailbox from the ShoreWareT"" Communicator software or from any telephone. The message notification feature shall alert users to new messages by calling them at an external number, paging them or sending them an email. Voice mail messages shall be stored in the industry- standard WAV (Audio for Windows)format, allowing users to play them on multimedia PCs, attach them to e-mail messages, or embed them in other documents.
