RFP 6.1.B. - Page 20 <br /> products/services being proposed. <br /> • The cost of delivery, setup and installation (where applicable) of the products/services and any <br /> accessories being proposed. <br /> • Other costs, where applicable, typically associated with the purchase, delivery, set-up, and <br /> installation of the products/services being proposed and making it operational at the purchaser's <br /> site. <br /> 4.28 The Total Cost of Acquisition is to be stated "As Proposed." As an example, a materials only <br /> proposal, or portions of proposals, must include the total cost of acquisition for those materials delivered. <br /> In contrast, the Total Cost of Acquisition for a turn-key proposal must include the total costs to be <br /> incurred in the process of delivering that combination of products/services. <br /> J. REQUESTING PRODUCT AND SERVICE ADDITIONS/DELETIONS <br /> 4.29 Requests for product, service, and price additions, deletions, or changes must be made in written <br /> form and shall be subject to approval by NJPA. <br /> 4.30 New products/services may be added to a Contract resulting from this RFP at any time during that <br /> Contract to the extent those products/services are within the scope of this RFP. Those requests are subject <br /> to review and approval of NJPA. Allowable new products/services generally include new updated <br /> models of products/services and or enhanced services previously offered which could reflect new <br /> technology and improved functionality. <br /> 4.31 Proposers representing multiple manufacturers, or carrying multiple related product lines may also <br /> request the addition of new manufacturers or product lines to their Contract to the extent they remain <br /> within the scope of this RFP. <br /> 4.32 NJPA's due diligence in analyzing any request for change is to determine if approval of the request <br /> is 1) within the scope of the original RFP, and 2) in the "Best Interests of NJPA and NJPA Members." <br /> We are looking for consistent pricing and delivery mechanisms and an understanding of what value the <br /> proposal brings to NJPA and NJPA Members. <br /> 4.33 Documenting the "Best Interests of NJPA and NJPA Members" when out-dated equipment is being <br /> deleted is fairly straight forward since the product is no longer available and not relevant to the <br /> procurement Contract. <br /> 4.34 Requests must be in the form of 1) a cover letter to NJPA a) asking to add the product line, b) <br /> making a general statement identifying how the products to be added are within the scope of the original <br /> RFP, and c) making a general statement identifying that, if appropriate, the pricing is consistent with the <br /> existing Contract pricing and 2) the detail as to what is being added at what price will then be an <br /> attachment to that cover letter. <br /> 4.35 NJPA's intent here is to encourage Proposers to provide and document NJPA's due diligence in a <br /> clear and concise one page format on which we can stamp and sign our acknowledgment and acceptance. <br /> This information must ultimately come from Proposers, and NJPA is requiring it in this format. <br /> K. REQUESTING PRICING CHANGES <br /> 4.36 Price Decreases: Requests for standard Contract price decrease adjustments (percentage discount <br /> increases) are encouraged and will be allowed at any time based on market place efficiencies, market <br /> place competitiveness, improved technologies and/or improved methods of delivery or if Vendor engages <br /> in innovative procurement practices such as strategic sourcing, aggregate and volume purchasing. NJPA <br /> expects Vendors to propose their very best prices and anticipates price reductions due to the advancement <br /> of technologies and market place efficiencies.
