RFP 081411 6.1 .B. - Page 21 <br /> 4.37 Price increases: Requests for standard contract price increases (or the inclusion of new generation <br /> products/services/services at higher prices) can be made at any time. These requests will again be <br /> evaluated by NJPA based on the best interests of NJPA and NJPA Members. As an example, typically <br /> acceptable requests for price increases for existing products/services may cite increases to the Vendor of <br /> input costs such as petroleum or other applicable commodities. Typically acceptable requests for price <br /> increases for new products/services enhance or improve on the current solutions currently offered as well <br /> as cite increases in utility of the new compared to the old. Vendors are requested to reasonably document <br /> the claims cited in their requests. Your written request for a price increase, therefore, is an exercise in <br /> describing what you need, and a justification for why you need it in sufficient detail for NJPA to deem <br /> such change to be in the best interests of our self and our Members. <br /> 4.37 Price Change Request Format: An awarded Proposer will use the format of a cover letter <br /> requesting price increases in general terms (a 5%increase in product line X) and stating their justification <br /> for that price increase (due to the recent increase in petroleum costs)by product category. Specific details <br /> for the requested price change must be attached to the request letter identifying product/services where <br /> appropriate, both current and proposed pricing. Attachments such as letters from suppliers announcing <br /> price increases are appropriate for documenting your requests here. <br /> L. PRICE AND PRODUCT CHANGES FORMAT <br /> 4.39 NJPA's due diligence regarding product and price change requests is to consider the reasonableness <br /> of the request and document consideration on behalf of our members. We would appreciate it if you <br /> would send the following documentation to request a pricing change: <br /> 4.39.1 A cover letter: <br /> a. Please address the following subjects in your cover letter: <br /> i. What product/service prices are changing? <br /> ii. How much are the prices changing? <br /> iii. Why are the prices changing? <br /> iv. Any additions or deletions from the previous product list and the reason for <br /> the changes. <br /> b. The specifics of the product/services and price changes will be listed in the excel <br /> spreadsheets indentified below. Please take a more general "Disclosure" approach to <br /> identifying changes in the cover letter. <br /> i. If appropriate, for example, state, "All paper products/services increased 5 % <br /> in price due to transportation costs." <br /> ii. If appropriate, for instance, state, "The 6400 series floor polisher added to the <br /> product list is the new model replacing the 5400 series. The 6400's 3% price <br /> increase reflects the rate of inflation over the past year. The 5400 series is now <br /> included in the "Hot List" at a 20% discount from previous pricing until <br /> remaining inventory is liquidated." <br /> 4.39.2 An excel spreadsheet identifying all products/services being offered and their pricing. <br /> Each subsequent pricing update will be saved using the naming convention of"[Vendor Name] <br /> pricing effective XX/XX/XXXX." <br /> a. Include all products/services regardless of whether their prices have changed. By <br /> observing this convention we will: <br /> i. Reduce confusion by providing a single, easy to find, current pricing sheet for <br /> each Vendor. <br /> ii. Create a historical record of pricing. <br /> M. SINGLE STATEMENT OF PRICING/HISTORICAL RECORD OF PRICING <br /> 4.40 Initially; and with each request for product addition, deletion, and pricing change; all <br /> 18 of 47 <br />
