REV: 07-30-2021 RL Asset condition fields are captured during the work order completion process or the inspection process. Asset condition fields will be transposed to the asset record immediately and become available for reporting, analyzing and viewing in a real-time environment. Site condition codes are filtered by service type and will be used to track the before and after condition of the job site or repair. Conditions may be set to trigger additional work orders for future repair or site remediation at the discretion of the City. Consultant will assist the City with trigger setup if requested at no additional charge to the City. Job Cost: A Job Cost module will be provided to track labor hours for regular time and overtime, material charges, equipment charges including FEMA rates, contractor cost, street cut, and journal entries for miscellaneous expenses such as mileage and non-stock items. Invoices will be able to be generated from Consultant’s software for internal and external billing. Job cost and statistical reports will be grouped by asset, location, work type, facility, process, project, address, priority, department, task, condition, crew or other categories specified by the City. Other information such as Job Safety Actions and Equipment Idle time will be captured at the time of closing work orders. All job costs, financial or otherwise will have the ability to impact one or more strategic initiatives. All strategic initiatives will have the ability to impact one or more Key Performance Indicators (KPI) set by the City. These impacts may be simplistic or formulaic in nature. KPIs will be displayable through a dashboard view and presence of KPIs will be configurable based on user credentials. Additionally, Consultant will assist the City in displaying KPI data on a public facing web page at no additional charge if requested by the City. Task Management and Linking Processes: Tasks will be one of the many ways users can track work. Consultant’s software will allow users to manage these tasks efficiently. One of these key features will be the ability to copy or “clone” all details from an existing task to create new ones. This eliminates the time necessary to manually enter the same data for multiple tasks. Users interested in defining processes in more detail will be able to assign an unlimited amount of materials to specific tasks as well as specific labor skills, estimated hours, departments, employees, tools, contractors, attachments, attachments from O&M manuals or CAD drawings, estimated costs, and standard operating procedures (SOP). If a work order calls for a task which has a linked SOP, that SOP will automatically attach to, and print with the work order. The same holds true for parts, skills, tools, contractors, and manuals. Users define and edit all of these elements when setting up each task. Barcode Functionality: Consultant’s software will have the ability to have material from the warehouse scanned, added, and released to a work order using barcode equipment or QR equipment.
