AECOM will <br />prepare a Caltrans encroachment permit application for conducting design field activities for the <br />City's signature. <br />• City of Redwood City (City) <br />• Caltrans (offices, departments, divisions and groups as directed by Caltrans Project <br />Development) <br />• San Mateo County Transportation Authority (SMCTA) <br />• Federal Highway Administration (FHWA) <br />• Union Pacific Railroad (UPRR) <br />• City/County Association of Governments of San Mateo County (C/CAG) <br />• San Mateo County Public Works <br />• San Mateo County Flood Control District <br />• San Francisco Bay Regional Water Quality Control Board (RWQCB) <br />• Private property owners and developers (AECOM to prepare draft materials and City to <br />coordinate) <br />• Affiliated utility companies within the project limits <br />• Redwood City's Complete Streets Advisory Committee (CSAC) <br />• Redwood City School District and Sequoia Union High School District <br />Task 1.4 Kick -Off Meeting and PDT Meetings <br />Following Notice to Proceed, AECOM will conduct a Project Kick -Off meeting (assume 2 <br />meetings) with the City, Caltrans, SMCTA and project stakeholders. Project scope, team <br />organization, communication procedures, design schedule, critical activities, design data needs <br />and project deliverables will be discussed. <br />AECOM will conduct Project Development Team (PDT) meetings every two months (assume 10 <br />meetings). This will include preparation and submittal of agenda, preparation and submittal of <br />Data Request Logs, and preparation of meeting minutes for each PDT meeting, distribution of <br />meeting minutes and development of action items list. The agenda will be submitted at least one <br />week prior to the meeting and the meeting minutes/action items will be submitted within two <br />weeks after the meeting, allowing one week for comments to be received on the draft meeting <br />minutes.
