Construction Contract Administration 5.1 Establish and maintain coordination procedures. Conduct a preconstruction conference to establish administrative procedures and implement a short-term schedule of activities for project mobilization. Distribute the CAM to the appropriate parties. Prepare and distribute minutes to all attendees. 5.2 Conduct and record job meetings. Establish, chair, take minutes, and monitor the follow-up of monthly job meetings. 5.3 Maintain project records and documentation. Maintain detailed records of the project including daily logs, inspection reports, photos, measurements of quantities, schedules, and correspondence. 5.4 Status reporting syste~,. Prepare and submit to the City a monthly progress report. An}' significant variances between planned and actual results will receive appropriate attention and corrective action will be recommended. 5.5 Assist in the negotiation of change orders with the Contractor. Represent the City's interest in change orders. 6. Provide Field Observation for Conformance Plans and to Specifications Provide construction observation to monitor conformance of the Contractor's work with plans and specifications. Report nonconformance and construction deficiencies to the Contractor and to the City. Whenever there is a question of interpretation of the plans and specifications, obtain the Design Team's interpretation. 7. Estimating Estimate the added or reduced cost and time of changes during construction to be used in change orders to the contract.
