Contractor's baseline critical path method (CPM) schedule, work plan, shop drawings, <br />traffic control plan(s), and materials and equipment including long lead-time items such <br />as street lights and large vaults that require approval from private utilities and various <br />project stakeholders. <br />• Attend project -related neighborhood community and business outreach meetings as <br />necessary. <br />Prepare and distribute Work Notices to the residences, businesses, and commuters <br />informing them of the impending construction and possible delays, detours, traffic <br />control, and other possible impacts. Also, inform City's Police and Fire Departments, <br />SamTrans, Recology, and any other regular service providers of road closures or <br />detours anticipated during construction. <br />Receive and track requests for information (RFIs), submittals, shop drawings, etc. <br />received from the Contractor and assign to the appropriate entity (e.g. Design Team, <br />City, private utility companies, etc.) for evaluation and response. <br />Task 2 - Construction Phase; <br />Prepare meeting agendas and chair weekly construction meetings to review and discuss <br />the Contractor's three-week look ahead schedule to ensure that it is in line with the base <br />line CPM schedule. Request Contractor to submit updates to the baseline schedule if <br />construction falls behind schedule and document and approve any changes. Invite <br />PG&E, AT&T, MCI and Comcast to the weekly meetings and as necessary, UPRR and <br />Caltrans. Prepare weekly meeting minutes and distribute to Project team. <br />• Coordinate and maintain correspondence with the City's Construction Inspector, <br />Contractor and their subcontractors and suppliers, City's Design Consultant, utility <br />companies, and permitting agencies including Caltrans and UPRR. <br />• In conjunction with the City's Construction Inspector, perform as -needed communication <br />and coordination with members of the public (residents, businesses, and churches) and <br />the City for project -related impacts such as driveway access and other temporary access <br />restrictions as well as planned temporary shut downs of services such as electrical, <br />communication, water, gas, sewer, etc. <br />Prepare and issue City -initiated Change Orders, Design Clarifications, and Instruction <br />Bulletins to the Contractor. Review and evaluate all Contractor -initiated Change Order <br />requests with the City's Construction Inspector and discuss recommendations with City <br />staff for approval or denial. All change order work must be approved in advance or <br />issued as time and material (T&M) changes and the Contractor will be required to submit <br />T&M tags for the inspector's signature by the next working day. Develop and maintain a <br />changer order tracking log including a summary of and status of pending and approved <br />change orders. <br />• Review and provide comments on the Construction Inspector's daily field reports and <br />daily photographs to ensure the field activities are documented accordingly (e.g. <br />information related to daily activities performed, site issues, manpower, equipment, and <br />time for extra or force account work, etc.).
