Number: P06 <br />Name: Production Cutover Plan <br />Stage: 3 -Testing & Training <br />Track: 1 - Project Management <br />Type: Deliverable <br />Description: The P06 Production Cutover Plan deliverable outlines the CherryRoad and City activities to <br />transition to the production systems for the project phase. The deliverable will identify all the <br />dependencies for initiating the cutover to production, the production migration itself, and the post - <br />implementation processes that must be executed to stabilize the production system. The deliverable will <br />include a step-by-step detailed cutover plan for migrating the data and metadata from the non -production <br />environment into the production environment <br />Included in the plan will be a full description of the CherryRoad Production Support (30 days of project <br />team support) and CherryRoad Managed Services. As long as the City continues to pay annual support <br />through CherryRoad, the City will receive helpdesk services through CherryRoad, 100 hours annually of <br />break/fix orenhancement support and updated training documentation through the CherryRoad <br />Learning Management System (LMS). <br />Sub-Deliverables/Milestones: There will be a Production Cutover Plan deliverable for each project <br />phase, resulting in the followingsub-deliverables: <br />• P06.1 Production Cutover Plan - Phase 1 <br />• P06.2 Production Cutover Plan - Phase 2 <br />• P06.3 Production Cutover Plan - Phase 3 <br />Format: Microsoft Word, Microsoft Project <br />Redwood City Role: The City will be responsible for completing the following tasks: <br />• Provide input for deliverable <br />• Attend deliverable review meetings <br />• Approve deliverable <br />CherryRoad Role: CherryRoad will be responsible forcompleting the following tasks: <br />• Create deliverable <br />• Facilitate deliverable review meetings <br />• Provide Knowledge Transfer and documentation <br />Acceptance Criteria: The P06 Production Cutover Plan deliverable will include a narrative plan, outlining <br />the approach for deploying the system into the production environment include the following: <br />1. Tasks and dependencies for implementing the production infrastructure <br />2. Data conversion sequencing including extract generation and data load <br />3. Application configuration management through the completion of the cutover activities <br />4. Security configuration management through the completion of the cutover activities <br />5. Step-by-step tasks for completing the development objects (interfaces and reports/dashboards) <br />migrations <br />6. Department production cutover considerations <br />7. Communication channels to follow during the production cutover <br />8. Fallback plan, if necessary <br />The P06 Production Curover Plan will account for each cutover task needed to complete the migration to <br />production and operational support, and the sequence of events that must be followed to complete the <br />migration successfully.The deliverable will include an MS Project schedule. Forall tasks required to <br />complete the go live, the schedule will include: <br />1. Start date/time <br />2. End date/time <br />3. Primary resource assigned <br />4. Secondary resource assigned <br />S. Predecessor tasks <br />6. Comments <br />Deliverable/Milestone Assumptions: <br />1. The scope of content to be included in the P06 Production Cutover Plan deliverable will meet the <br />acceptance criteria listed above. <br />2. The granularity of tasks and timings to be tracked in the P06 Production Cutover Plan deliverable <br />will be more detailed than what is regularly maintained in the project schedule.
