6.C. - Page 20 of 33 <br />(xiii) Assist CITY with public outreach. <br />The PM's services relating to Project communications shall utilize forms, <br />processes and other measures implemented by the CITY in connection with <br />construction of the Project, including without limitation, the document control <br />management system implemented by the CITY for the Project. If there is no <br />system, PM shall devise a document control management system, with CITY's <br />approval. <br />3.2 Construction Phase Meetings and Conferences. The PM shall conduct meetings <br />and conferences during the Construction Phase of the Project. Where PM chairs <br />the meetings, PM shall prepare agendas and keep meeting minutes. Where <br />others chair the meetings, PM shall ensure that agendas and meeting minutes <br />are obtained. Minutes shall be provided within two (2) working days of the <br />meeting. <br />3.2.1 Pre -Construction Conference. The PM shall conduct a Pre -Construction <br />Conference after award of the construction contract and prior to commencing the <br />construction atthe siteto address matters relating to: <br />(i) scope and other requirements of the Project; <br />(ii) the schedule for completion of the Project; <br />(iii) administrative matters, including the submission and processing of payment <br />requests, requests for information, submittals and other similar matters; <br />(iv) prevailing wage rates, certified payroll records and other matters relating to the <br />employment of labor; <br />(v) test and inspection requirements; and, <br />(vi) other matters relating to the Project. <br />3.2.2 Weekly Construction Meetings. During construction of the Project, the PM shall <br />conduct Weekly Construction Meetings on a weekly basis. The Weekly <br />Construction Meetings shall address at leastthefollowing: <br />(i) Project progress schedule reviews, updates and look-aheads; <br />(ii) outstanding and open matters from prior construction conferences; <br />(iii) coordination of installation activities; and, <br />(iv) other matters relating tothe construction of the Project. <br />3.2.3 Other Construction Meetings. As required by the circumstances of construction of <br />the Project, the PM shall call and conduct other construction meetings to address <br />matters not subject to the agenda or subject matter of Weekly Construction <br />Meetings. <br />3.2.4 Meeting Minutes. The PM shall maintain and issue minutes of Construction <br />Phase Meetings to the Contractor, the CITY, the Architect, and others as directed <br />or authorized by the CITY.
