the CITY for review and acceptance. The PM shall modify the bid and/or contract <br />documents for the Project as necessary to obtain the CITY's acceptance of the <br />entiretyofthe bid documentsforthe Project. <br />2.2 Authority to Bid. The PM shall review approvals theretofore obtained by or on <br />behalf of the CITY relating to authority of the CITY to engage in bidding the <br />Project for construction. The PM shall confirm to the CITY the authority of the CITY <br />to engage in the bidding process for construction of the Project; if there are <br />limitations to the CITY's authority to bid the Project the PM shall advise the CITY of <br />the same and assist the CITY in removing such limitations. <br />2.3 Advertisements. The PM shall assist the CITY in development of the Notice to <br />Contractors, advertisement. Issuance of the Notice to Contractors and <br />placement of the bidding advertisement will be by the CITY. The PM shall also <br />make recommendations to the CITY for placement of notices and issuance of other <br />communications for the purpose of publicizing the availability of the Project for <br />bidding by Contractors. The PM shall assist the CITY in placing such notices and <br />issuing communications for such purposes. <br />2.4 Contractor Outreach. The PM shall, by all appropriate means of communication, <br />advise Contractors of the availability of the Project for bidding. The PM shall <br />endeavor to maximize the participation of qualified Contractors. The PM shall <br />maintain a log of contacts made in the form of a spreadsheet. Detailed <br />communication records transmitted to/received from potential bidders std be <br />available for review and/or reproduction bythe CITY upon request. <br />2.5 Project Team Communication and Document Control Process During Bid. The <br />CITY will contract with a reprographics company for managing and completing <br />distribution of bid and contract documents and addenda issued during the bidding <br />of the Project to prospective bidders. The PM shall manage the bid and <br />communication process including oversight of the CITY retained reprographics <br />company and logistical support/coordination of the delivery of materials from the <br />CITY or others to the reprographics company and the reprographic company's <br />dissemination of bid documents, contract documents and addenda to prospective <br />bidders for the Project. The PM shall establish a system for dissemination of bid <br />documents to Contractors and for maintaining records of the <br />identities/addresses/telephone-fax numbers/email addresses of the Contractors <br />who have obtained bid documents for the Project. All such records shall be <br />available to the CITY for review, inspection and/or reproduction upon request of <br />the CITY. PM is responsible for ensuring that the bid and contract documents for <br />the Project are submitted to the CITY retained reprographics company before the <br />date of the first advertisement for bidding the Project. <br />2.6 Pre -Bid Conference(s). The PM shall conduct pre-bid conferences, including thejob <br />walk(s), if one is required or scheduled in the bid documents.
