3.2.1 Pre -Construction Conference. The PM shall conduct a Pre -Construction <br />Conference after award of the construction contract and prior to commencing the <br />construction atthe site to address matters relating to: <br />(i) scope and other requirements of the Project; <br />(ii) the schedule for completion of the Project; <br />(iii) administrative matters, including the submission and processing of payment <br />requests, requests for information, submittals and other similar matters; <br />(iv) prevailing wage rates, certified payroll records and other matters relating to the <br />employment of labor; <br />(v) test and inspection requirements; and, <br />(vi) other matters relating to the Project. <br />3.2.2 Weekly Construction Meetings. During construction of the Project, the PM shall <br />conduct Weekly Construction Meetings on a weekly basis. The Weekly <br />Construction Meetings shall address at leastthefollowing: <br />(i) Project progress schedule reviews, updates and look-aheads; <br />(ii) outstanding and open matters from prior construction conferences; <br />(iii) coordination of installation activities; and, <br />(iv) other matters relating to the construction of the Project. <br />3.2.3 Other Construction Meetings. As required by the circumstances of construction of <br />the Project, the PM shall call and conduct other construction meetings to address <br />matters not subject to the agenda or subject matter of Weekly Construction <br />Meetings. <br />3.2.4 Meeting Minutes. The PM shall maintain and issue minutes of Construction <br />Phase Meetings to the Contractor, the CITY, the Architect, and others as directed <br />or authorized by the CITY. The PM shall, within two (2) days after the completion <br />of a Weekly or other Construction Meeting, issue minutes of such meeting or <br />conference. Minutes prepared by the PM shall accurately and completely reflect the <br />discussions and conclusions reached on each separate agenda item considered <br />during the course of a meeting or conference. If there are objections or corrections <br />requested to any minutes of a meeting or conference issued by the CM, the PM <br />shall review such objections or correction requests and address and document the <br />same at the next Weekly Construction Meeting. <br />3.3 Applications for Progress Payments. PM will review progress payments to the <br />Contractor and, in consultation with the Architect, make progress payment <br />recommendations to the CITY. <br />(i) PM will assist in the development of procedures for submittal, review, processing <br />and disbursement of progress payments to Contractor, along with associated forms <br />and reporting systems and communicate this to the Contractor; <br />(ii) based upon PM's observations and evaluations of each application for progress <br />payment, PM will review and certify to the CITY the amount recommended on <br />each such application for progress payment; PM's certifications constitute a <br />REV: 08-21-19 PR <br />
