Detailed Work Plan <br />The Consultant shall accomplish the goals outlined within the Scope of Services by <br />performing the following activities: <br />1. Conduct Project Team Meeting #1 with City and Downtown Library staff to review the <br />proposed scope of work, timeframe, contract terms, and goals for the project. <br />2. Obtain necessary floor plans from the City to serve as a basis for the design sketches. <br />We understand that there is no existing CAD base drawing of the areas to be studied; the <br />Library only has as -built drawings for the Computer Lab Electrical Modifications. <br />3. Take measurements at the site to confirm existing conditions and create a new CAD <br />base plan illustrating the existing conditions at a scale of =V-0". <br />4. Prepare initial sketches of up to three options for renovating the site to create a new <br />makerspace/coworking space. <br />5. Project team meeting #2 with City and Downtown Library staff to review the proposed <br />alternative design concepts and agree on a preferred direction. <br />6. Prepare the necessary materials for a community meeting to discuss the proposed <br />alternatives for modifications to this area. <br />7. Facilitate a community input meeting at the library to discuss the desired program <br />elements and possible facility modifications and document community input. <br />8. Hold one or two afternoon focus group meetings with students to get input on the <br />programs and activities that would attract them to this space. <br />9. Project Team Meeting #3 with City and Downtown Library staff to review community <br />input and discuss any proposed modifications to the design concepts and select a <br />preferred direction. <br />10. Meet with MEP engineering consultants to review the proposed modifications and to <br />assess their impact on existing building systems. If necessary, the engineers will visit the <br />building to assess the condition of existing systems and fixtures in the space. <br />11. Each of the engineers will prepare a document outlining the scope of work associated <br />with the proposed renovation. This will include an annotated plan, and outline <br />specifications for the proposed changes. <br />12. Talk with technical staff to prepare a preliminary equipment schedule and budget. <br />13. Talk with staff and local furniture vendors to look at alternatives for furnishing the <br />space and establish a preliminary furnishings budget. <br />14. Prepare final concept design drawings based on input from staff and community <br />members to illustrate the proposed design. <br />15. Assemble a final concept design package including design drawings, consultant <br />recommendations, and initial furniture and equipment schedules. <br />16. Consult with cost estimators in the preparation of a preliminary conceptual <br />construction cost budget. <br />17. Expand the budget into an overall conceptual project cost estimate to include <br />construction, fees and permits, furnishings and equipment, and contingencies. <br />18. Project Team Meeting #4 to present final design document + budget to City and <br />Downtown Library staff. <br />19.
