<br />On March 3, 2019, the City executed a one-year trial software and services agreement with HdL for
<br />Business License and Transient Occupancy Tax software and services for compliance tracking and online
<br />payment processing and notification. In May of 2019, HdL went live, automating and improving the
<br />process of notifying and collecting Transient Occupancy and Business License Taxes. On June 10, 2019,
<br />City Council authorized the City Manager to purchase three additional licenses, at an amount not to
<br />exceed $5,700. Amendment number 1 was executed on May 31, 2019 for two of the licenses. Amendment
<br />number 2 was executed on August 14, 2019 for the third approved license. On October 12, 2020 the City
<br />Council authorized the City Manager to execute Amendment No. 3, extending the terms of the agreement
<br />an additional three years for an amount not to exceed $122,188, with an additional 10% at the City
<br />Manager's discretion as contingency if necessary. On October 17, 2020, Amendment No. 3 for HdL was
<br />executed.
<br />On April 8, 2019, City Council approved a three-year agreement for $300,000 with OpenGov for their
<br />budgeting and planning, organizational performance, and citizen engagement suite of tools. OpenGov
<br />went live and was used by the City to prepare the FY20-21 budget. However, OpenGov was not found to
<br />be suitable for preparation of the Capital Improvement Program (CIP) budget. To meet the needs of CIP
<br />budgeting, staff have contracted with CodeRight for an additional $20,000 to produce an interface using
<br />Dynamic 260 with Microsoft Teams to support CIP budget preparation.
<br />On May 6, 2019, City Council approved a five-year agreement for $635,000, plus an additional $20,000 in
<br />contingency funds, with TruePoint Solutions for TrueBill, their Utility Billing Solution. TrueBill went live in
<br />September 2020.
<br />On May 20, 2019, City Council approved and authorized the City Manager to execute an agreement with
<br />CherryRoad Technologies for the implementation and support of Oracle Fusion Cloud Financials, Human
<br />Capital Management (HCM) cloud software suite, and licenses for associated third party tools for a
<br />contract amount of $4,889,068; and authorized the City Manager to increase the contract amount, if
<br />necessary for additional support and services, up to 10% of the agreement amount, for a total not to
<br />exceed $5,377,975, fora five-yearterm. The agreement consists of implementation services in the amount
<br />of $2,568,806, third party tools/services (CoreBT Cashiering and ADP tax reporting solutions) in the
<br />amount of $342,692, and a flat five-year Oracle licensing agreement in the amount of $1,977,570.
<br />On May 29, 2019, the agreement with CherryRoad Technologies was executed.
