Base maps for each site based on existing available digital city data (three [3] sites and two [2] <br />base maps for connectivity between core downtown open spaces) <br />Provide native files <br />Task C: Community Outreach and Public ParticiDation <br />Subtask C.1: Community Outreach Strategy <br />Consultant will identify meetings, focus groups, workshops, events, materials, and <br />techniques such as post -workshop surveys (Subtask C.9) to provide optimal and effective <br />community feedback and management of public expectations. Consultant will outline <br />cohesive strategy for a comprehensive approach. The strategy outline will be the basis <br />for planning of each workshop and will be updated as necessary to reflect changes in <br />strategy or approach after consultation with City staff. This strategy will take into account <br />the previous public engagement completed as part of the Study. <br />Deliverables: <br />• Written strategy outline (virtual, face-to-face, events, pop -ups, etc) <br />• Outreach strategy schedule (coordinate with City Departments) <br />• Graphic image of strategy (diagram) <br />■ List of key assumptions and parameters for project design <br />Subtask C.2: Focus Group Meetings <br />Consultant will prepare for and co -facilitate meetings with City staff to engage selected <br />user groups or adjacent property community groups at the beginning of the project. <br />Meetings will be organized to collect meaningful input on key aspects of the planning <br />process, including the development of programming recommendations, project goals and <br />objectives, and master plan design concepts. <br />Deliverables: <br />Meeting attendance and co -facilitation of up to four (4) focus group meetings (may be a mix of <br />virtual and in person) <br />Summary memo of notes and key outcomes of each meeting. <br />Subtask C.3: Council and Commission Study Sessions and Hearings <br />Consultant will develop PowerPoint and other meeting materials and present public <br />outreach results, design concepts, and other relevant project information to Council and <br />Commissions at study sessions and hearings during the course of the project. Joint <br />Commission study sessions may occur. Presentation materials will be carried forward <br />from meeting to meeting for efficiency and context. New slides added as necessary to <br />provide new information. <br />Deliverables: <br />• Up to seven (7) total - meetings/work sessions/hearings; includes one (I) hearing for Santa <br />Clara County related to Lot A grant funding <br />• PowerPoint presentation prepared jointly with City staff <br />REV: 08-04-2021 RL <br />ATTY/AGR.2021.207/RRM (Downtown Parks and Bay Connectivity Project) (Page 13 of 32) <br />
