REV: 12-20-23 VR The final deliverable will be a Community Engagement Strategy memorandum summarizing the preferred engagement strategy, methods, and tools to be used and anticipated outcomes. Task 3.2: Project Factsheets To set accurate expectations and understanding of the Precise Plan process (and to clearly distinguish it from the applicant’s materials), Consultant, with support from P2P, will prepare Fact Sheets or FAQs that will continue to evolve throughout the duration of the project. This important collateral will be critical in helping identify the overall project objectives and helping provide answers to common questions, how information will be disseminated and how the input gathered will be used to inform the process. These materials will help emphasize the importance of input from diverse perspectives. It is anticipated that City staff and Consultant will co-create the language for these documents, and Consultant will maintain, organize, and simplify the language to ensure the messaging is up to date and user-friendly. Task 3.3: Project Website Subconsultant P2P will prepare a wireframe structure for and launch a dedicated external project website which will be linked from the City’s website. Consultant will work collaboratively with City staff to develop the content for the website. Using Squarespace or Wix, a web-based content management system (CMS), the site will serve as the primary portal for the engagement effort and will include: Project objectives and timeline; Project updates and news; Upcoming events and meeting summaries; Resources; and Opportunities to submit ideas and subscribe to project mailing lists. The website will integrate social networking tools that are already in use. The website can also be linked to online feedback forms and interactive tools prepared in other tasks and gather topic specific feedback. Task 3.4: Stakeholder and Focus Group Meetings Consultant will help organize and facilitate up to 10 one-on-one (or small group) stakeholder and up to 4 larger focus group meetings. The smaller stakeholder meetings are intended for meetings with key decision-makers and community members that may include members of Planning Commission and City Council, development community representatives, business leaders, community groups and non-profits, and neighborhood ambassadors and representatives of disadvantaged communities. Consultant will lead the stakeholder meetings. Consultant will work with City staff to identify stakeholders and to prepare agendas, discussion prompts, and activities for each meeting. It is anticipated that these meetings will be facilitated through virtual meeting platforms and/or conducted in person. Focus group meetings are intended to engage with a different audience compared to the stakeholder meetings.
