Consultant will seek to engage the community on which benefits are <br />the highest priority and other considerations related to the community benefits <br />framework in the Precise Plan. <br />Workshop #4: Draft Precise Plan and EIR Open House. We will hold a community <br />open house to review content and collect feedback from the community following <br />the release of the Public Draft of the Precise Plan and EIR. This open house will <br />include a brief overview presentation and open house stations for each of the <br />critical topics. <br />For each meeting, Consultant will provide: an email blast about the project, meeting <br />materials, presentations, and summary notes. The team will provide up to four team <br />members at each meeting. Anticipated roles and responsibilities for staff include: <br />Consultant will work with City staff to identify the overall purpose, approach, <br />objective, target audience and anticipated outcome of each workshop. <br />Consultant will assist with preparation of outreach materials including messaging <br />for email blasts and social media posts, and preparation of postcards or flyers <br />building using the templates prepared in previous tasks. <br />Consultant will lead the effort with City staff support to prepare public-facing, <br />annotated agendas. <br />Consultant and City staff will prepare the content for each workshop. <br />Consultant will co-lead facilitation at each workshop and prepare and manage <br />interactive in- meeting activities to foster input, and ensure meetings are engaging <br />and accessible. <br />City staff will lead meeting logistics (identify physical location) and the consultant <br />team will assist with meeting logistics as needed, including virtual platform settings. <br />Consultant can assist with translation of materials as needed (interpretation will be <br />provided, up to the amount allocated in the expenses budget). <br />Consultant’s subconsultant P2P will provide meeting summaries after each <br />workshop. <br />Task 3.6: Online Feedback Forms <br />Consultant will collaborate with City staff to prepare the content form for two online <br />feedback forms or surveys that will capture opinions on relevant topics that will inform the <br />Precise Plan. The online feedback forms will be concise and accessible on a computer <br />or mobile device and translated in Spanish and other languages as needed. Consultant <br />will summarize the results into a key themes memo supported by summary graphics and <br />direct quotes. The feedback forms are anticipated to be administered and analyzed <br />through SurveyMonkey or an equivalent software. Access to the feedback forms can be <br />advertised on the project website, social media platforms and mailers with survey link and <br />QR code (for an additional fee).
