REV: 08-22-24 VR <br />Building on the project schedule submitted with this Scope of Work, WRT will draft a <br />community engagement strategy in alignment with key project issues, schedule, and <br />milestones, in collaboration with Convey, Nuestra Casa, and City staff. The strategy will <br />describe the goals, objectives, and approach to community outreach and engagement. <br />To begin, Convey will create a stakeholder list based on City data including those from <br />previous projects, which will identify relevant Community Based Organizations (CBOs) to <br />engage to ensure outreach to hard-to-reach and historically under-represented groups. <br />To encourage CBO participation and compensate for CBO representatives’ time, an <br />allowance for CBO stipends is provided within WRT’s estimate of direct expenses. <br />Convey will also recommend methods for engaging these groups through messaging, <br />information, and outreach materials. At a regular coordination meeting, WRT, Convey, <br />Nuestra Casa, and City staff will consider a draft of the engagement strategy <br />memorandum, which WRT will revise based on City staff feedback. The engagement <br />strategy will define the communication tools and media strategy, including on-line, digital <br />engagement, and an outlined schedule and format of community engagement activities. <br />WRT, Convey, Nuestra Casa, and City staff will present the Community Engagement <br />Strategy at a study session to City Council for their review and input prior to <br />commencement of formal community engagement activities. <br /> DELIVERABLES: <br />draft and final Community Engagement Strategy Memorandum (1 round of city <br />review and comment/feedback). <br />1 City Council study session to review and receive feedback on the Community <br />Engagement Strategy draft and final presentation, after city review, and study <br />session attendance). <br />3b – Stakeholder & Public Comment Tracking Database <br />Using the Airtable app platform, Convey will develop and support a database that tracks, <br />documents, and organizes public comments during the planning process. <br />DELIVERABLE: database to track and organize public comments updated regularly. <br />3c – Project Branding <br />WRT and Convey will work with City staff to brainstorm branding attributes. From the <br />brand attributes, Convey will prepare three alternatives each for a project logo, taglines, <br />and color palettes. Alternatives will be reviewed at a regular monthly meeting. After City <br />staff has selected preferred elements, Convey will finalize the logo and prepare a brand <br />guide which will include brand usage guidelines, approved logo variations, brand colors, <br />type face, and document templates for ensuring a consistent visual identity throughout <br />project materials. <br />ATTY/AGR.2024.139/Wallace Robers & Todd LLC (Downtown & Central RWC) (Page 16 of 60)
