REV: 08-22-24 VR <br />City Responsibility: <br />Meeting space and meeting logistics by City staff; <br />Refreshments for attendees; <br />Distribution of publicity materials through city’s official communication and media <br />channels. <br />3h – Focused Meetings and Stakeholder Interviews on Key Topics <br />WRT will work with City staff to develop a list of stakeholders and interest groups to <br />engage in order to understand key issues, concerns, and opportunities that will inform the <br />preparation of the Plan Vision. The stakeholder engagement may be conducted as one- <br />on-one interviews, either in person or virtual, and/or as focus groups formed around key <br />topics. WRT will prepare a stakeholder questionnaire for staff review. <br />Convey will plan, coordinate, and deliver four focus groups. Issue areas for each focus <br />group will be decided at a regular monthly meeting with City staff, and could include: <br />equity and community-based initiatives, <br />circulation and access to Downtown, <br />development trends and practices, <br />urban design and public realm, <br />retail, entertainment & small businesses, and <br />historic & architectural character. <br />Convey will support in coordinating the meeting logistics, identifying topics, developing <br />agendas, preparing meeting materials, identifying attendees, issuing and tracking <br />invitations, arranging tech support, and preparing summaries. WRT and Nuestra Casa <br />will join Convey at the focus group meetings, where Nuestra Casa will help facilitate <br />discussions in Spanish. In addition, Nuestra Casa will work with Convey to focus on the <br />needs and concerns of underserved populations and other groups with special needs, <br />such as aging persons, limited mobility, low income, etc. An allowance for <br />translation/interpretation services to be determined, i.e. not English or Spanish, is <br />reserved as part of Convey’s direct expenses. <br />DELIVERABLES: <br />stakeholder list; <br />up to 6 one-on-one stakeholder interviews; <br />stakeholder questionnaire (1 round of city review and comment/feedback); <br />up to 4 focus group meetings; <br />focus group summaries; <br />logistics planning for four focus groups; <br />invitational/promotional material for four focus groups in English and Spanish (1 <br />round of city review and comment/feedback); <br />meeting materials; <br />attendance and facilitation in mono-lingual English and Spanish focus groups. <br />ATTY/AGR.2024.139/Wallace Robers & Todd LLC (Downtown & Central RWC) (Page 19 of 60)
