REV: 08-22-24 VR <br />City Responsibilities: <br />documentation of one-on-one stakeholder interview responses. <br />3i – Community Open Houses <br />WRT and Convey will attend and co-facilitate up to four community open houses. Using <br />content generated by WRT, Convey will plan, coordinate and deliver four community open <br />houses (in conjunction with Task 5) to receive feedback and present options to the public. <br />Convey’s activities will include identifying venues, coordinate staffing plan and <br />presenters, preparing promotional and invitational materials, event staffing, preparing <br />posterboards and displays, and preparing a summary memorandum for each round of <br />meetings. WRT will prepare questionnaire cards for participants. Nuestra Casa will <br />interpret and facilitate discussions in Spanish. <br />Other engagement formats will also be considered in place of two of the community open <br />houses such as: <br />online presentations followed by Q&A; <br />online “office hours” where people can drop in and ask questions and give <br />feedback; <br />online interactive map where people can drop a pin and make a comment; <br />in-person presentations at existing community organization events followed by <br />Q&A; <br />“Tactical Urbanism” installations to demonstrate public space strategies. <br />Determination of which formats will be used in replacement of two Open Houses will be <br />done jointly with City staff and integrated into the Engagement Strategy. <br />DELIVERABLES FOR FOUR OPEN HOUSES: <br />WRT, Convey, and Nuestra Casa attendance and co-facilitation; <br />meeting logistics, bilingual (English/Spanish) invitational/promotional materials, <br />bilingual informational displays and posterboards, and presentations with bilingual <br />titles (1 round of city review and comment/feedback for <br />materials/displays/presentations); <br />questionnaire cards (1 round of city review and comment/feedback); <br />meeting summary. <br />3j – Online Surveys <br />WRT, Convey, and Nuestra Casa will develop up to two online surveys to gather input <br />from an inclusive array of residents, workers, property owners, and other stakeholders. <br />As needed, paper copies of the surveys will also be produced to distribute at in-person <br />events. Convey will develop a suite of promotional materials (social media posts, <br />newsletter and/or e-blast content, website posting, etc) to direct people to the surveys. <br />City staff will help distribute these promotional materials through their channels.
