REV: 09-26-24 VR <br />Identify project milestones and expectations for the management and Organizational <br />Assessment process Discuss approach for managing communications between <br />Consultant and City, as well as approach to scope, risk, and resource management. <br />Assist the City in identifying peer benchmarking organizations and stakeholders and/or <br />stakeholder groups to include in the assessment process. <br />1.2 Develop a Project Work Plan and Schedule. <br />Based on the information gathered from project planning and introductory meeting, <br />develop a Project Work Plan and Schedule, which will outline the tasks and timelines for <br />the review process. The Project Work Plan and Schedule will also include agreed-upon <br />procedures between Consultant and the City related to project control, including quality <br />management and deliverable submission/acceptance management. After providing draft <br />versions of these materials in advance, facilitate a work session with the City’s Steering <br />Committee to review the drafts, solicit feedback, introduce the City’s Steering Committee <br />to document review process and provide an opportunity for the City to share input. <br />Incorporate the City’s feedback and finalize documentation before distributing it in final <br />form. <br />1.3 Conduct Biweekly Project Status Meetings. <br />Conduct biweekly project status meetings with the City’s Steering Committee on an <br />ongoing basis throughout the project. Use these meetings to describe the activities and <br />accomplishments for the reporting period; plans for the upcoming month; risks or issues <br />encountered during the reporting period; and anticipated problems that might impact <br />project deliverables. Also use these meetings to highlight any work products and <br />approaches that will contribute to deliverable development. <br />1.4 Develop and administer an information request and review the results. <br />Develop both an information request and a web survey to help gather applicable <br />information and gain a foundational understanding of the City’s current state. The <br />information request will be provided to the City’s Steering Committee to list desired <br />available documentation that will be helpful during the project. Examples include: <br />• Employee handbook and other employee publications and policies <br />• Standard operational procedures <br />• Organizational charts <br />• City and departmental operational and human capital strategies <br />• Customer satisfaction and employee engagement surveys <br />• Service contracts <br />• Performance data <br />• Contracted services <br />• Personnel rules <br />• Job descriptions <br />• Strategic planning documents for the organization and/or departments <br />• Operating and capital budgets and relevant budget request documents <br />• Information regarding existing and available technology and technology needs <br />ATTY/AGR.2024.173/Berry, Dunn, McNeil & Parker, LLC (PRCS Department Assessment) (Page 12 of 16)
