11 <br />Posterboards <br />The engagement team will develop several 24x36 inch posterboards to be displayed at pop-up <br />events, open houses, and other physical gatherings. These posterboards will include <br />educational displays with appealing, easy-to-understand information about the Plan and how to <br />get involved. <br />TRACKING AND REPORTING <br />Comment Tracking Database <br />All comments received through various channels will be tracked and managed via a custom <br />Airtable database shared with the project team. The comment tracking system will serve as a <br />central repository for all public input. Each comment will be logged with pertinent details such as <br />the date received, source (e.g., online survey, focus group, pop-up event), and the commenter's <br />demographics or community, if disclosed. <br />Each comment will be tagged with one or more keywords or themes based on its content (e.g. <br />accessibility, public transit, cycling infrastructure, etc.). Spanish comments will be translated into <br />English. The database will be regularly updated and reviewed to keep a pulse on public <br />sentiment and emerging themes. Trends and patterns identified from this database will help City <br />staff understand community priorities and concerns, informing the development and refinement <br />of the Plan. <br />Summary Reporting <br />At the conclusion of each engagement type (e.g. Focus Groups, Interviews, Open Houses, etc.), <br />the engagement team will prepare a summary community engagement memorandum. This <br />document will capture the breadth and depth of the public outreach conducted, offering a <br />comprehensive view of community engagement efforts and insights gleaned from them. Each <br />report will include: <br />ď‚·Summary of Outreach Activities: This section will detail the various tools and tactics <br />utilized in the engagement process, from focus groups and pop-up events to the online <br />survey and social media advertising campaign. For each method, the report will include <br />key performance metrics (for example, attendees, survey completions, social media <br />views, email recipients, etc.). <br />ď‚·Summary of Public Input: Drawing from the data captured by the online survey and <br />comment tracking system, a thorough summary and analysis of the public's input will be <br />provided. This section will present major themes and concerns and highlight specific <br />suggestions or feedback provided by the community. <br />8.A. - Page 17 of 17 <br />80
