Page 2 of 5 <br />City of Redwood City 1017 Middlefield Road, Redwood City, CA. 94063 Tel: 650-780-7000 www.redwoodcity.org <br />BACKGROUND <br />The City of Redwood City’s (City) Public Works Services (PWS) Department is the lead department that <br />coordinates furniture replacement throughout City facilities for large-scale projects funded under the <br />City’s Tenant Improvement Program. PWS is also heavily involved when other departments take the lead <br />in purchasing furniture for smaller-scale projects, as these projects often present opportunities for <br />replacing other facility features, such as carpet, paint, and lighting, which PWS facilitates. Historically, staff <br />have purchased and installed commercial-grade furniture through the use of specialized design firms. <br />These firms specialize in drafting technical drawings to maximize the utility of common areas and <br />workspaces while maintaining a cohesive aesthetic throughout departments and facilities. When the <br />replacement of furniture is deemed necessary, design consultants conduct site visits and meet with staff <br />to assess existing conditions in accordance with the project scope. The consultant will develop and <br />recommend furniture configurations that will promote ergonomic work environments while meeting the <br />City’s needs. Once drawings are approved, staff select contemporary furniture representing the City’s high <br />standard for excellence in government operations. The consultant then facilitates the supply and <br />installation of the selected products. <br />The last agreement administered by PWS for specialized design services and the supply and installation of <br />furniture expired in May of 2025. As the department plans to undertake several projects in the new year <br />and beyond, having a qualified firm under contract will enable staff to meet project needs efficiently. <br />Historically, the City has purchased Herman Miller furniture; this allows the City to repurpose or reuse <br />existing components when adding with the current product offerings of the brand. As the furniture <br />manufacturer, Herman Miller utilizes a network of regional dealers to provide installation and specialized <br />design services. <br />When furniture replacement is deemed necessary, design consultants conduct site visits to assess existing <br />conditions based on the project scope. Consultants develop and recommend furniture configurations that <br />promote ergonomic work environments while meeting the City’s needs. Avoiding employee injuries by <br />ensuring proper furniture promotes employee health and avoids lost productivity due to injury-related <br />absences. <br />However, in recent years, other brands have displayed improved quality and craft and are in some cases <br />equally viable options when considering project needs.
