Once received, we use it as a match
point for acknowledgment and invoice transactions. Customers can also be set up to
receive a text formatted email confirmation in addition to the order response
(acknowledgement) that we post to the FTP server.
6. Customers using the Sierra System can grid the notes field in ipage to download in their
order records. The notes field can be transmitted in an Ingram EDI order, but Ingram does
not require this data.
7. Below is a sample of a Sierra Vendor record. Customers will set up a vendor record for
each Ingram account number if they plan to place EDI orders using that account.
Ingram can receive these enriched fields in a Sierra EDI order:
Millennium or Sierra – Supported by Innovative Interfaces, Inc.
Field Supported by Vendor Max length
Location 10 bytes
Call Number 50 bytes
Fund 10 bytes
Notes 26 bytes
Innovative Order Record # ‘.o’ 22 bytes

Describe how accounts for different categories of orders are prefilled and set up
Account Set Up and Test Orders
Upon notification of the award, Ingram’s Bids and Contracts Department immediately issues
internal documentation detailing contractual specifications. This provides for automated criteria
that apply to new accounts, including discounts, payment terms and freight terms.

Our Senior Manager, Technical Services, shares information gathered at the Account Review
Meeting with our Client Integration/Account Services, Cataloging, EDI leadership, and other
Ingram Library Services departments. Our Client Integration team sets up new accounts
according to contract specifications. We review customer service standards to ensure they meet
the new contract’s requirements.

Technical Services staff work then sets up cataloging and processing profiles for each account to
match your requirements. As part of the initial Account Review, the Client Integration Specialist
helps you clearly define your requirements and complete your cataloging and processing
profile. They generate samples and create the tables and profiles used to drive your cataloging
and processing. We will send samples, tables, and profiles for your review to ensure accuracy of
setup. This process continues until you are completely satisfied with the finished product.

ATTY/AGR.2025.331/Ingram Book Group LLC (Ingram 2025) (Page 19 of 30)
