REV: 06-22-26 MI <br />After reviewing proposals, the Consultant will coordinate with the City to elevate a limited <br />number of vendors for onsite demonstrations and interviews. <br />Step 2: Software Demonstrations and Team Interviews <br />The Consultant will develop detailed demonstration (demo) scripts for each vendor <br />including requirements and business process decisions built on previously discussed <br />ERP tasks. Also, the Consultant will approach the software demos with a focus on <br />implementation activities. The Consultant will ask vendors to explain HOW the software <br />will be implemented along with the features of the software and HOW it will be configured <br />and implemented correctly to meet the needs of the organization. <br />The Consultant will approach each vendor and their software demos with considerations <br />of the continually evolving ERP market. The Consultant will request information from the <br />vendors throughout this demo and interview process. <br />The Consultant will facilitate a combination of remote and in-person demos and interviews <br />with each vendor. In this role, the Consultant will review compliance of the demo scripts, <br />take notes, and point out differentiators. After this first round of software demos and <br />interviews, the Consultant will help the City narrow the list of vendors to a manageable <br />set of vendors. <br />Step 3: Discovery <br />The Consultant will develop a Request for Clarification (RFC) letter for each vendor that <br />was elevated beyond the demos and interviews. During the Discovery phase, the <br />Consultant will invite each remaining vendor back for an on-site presentation. During this <br />presentation, the Consultant will ask vendors to resolve any remaining issues with <br />software functionality, implementation approach, data conversion, or scope are clarified. <br />The Consultant will ask vendors to make any necessary revisions to their proposal. The <br />Consultant will help develop a plan for the implementation which then the City and the <br />selected vendor can use later to develop a detailed statement of work. The Consultant <br />will facilitate the Discovery sessions for two vendor teams.
