OVERVIEW <br /> This work letter regards the delivery of a Campground /Facilities Reservation, Registration and Point of <br /> Sale System (the "System ") based on modules and processes deployed in Art Street Interactive's previous <br /> reservation systems. <br /> The system is scalable and flexible; facilitating the addition and removal of specific sites, POS items and <br /> programs at any time. New items and their associated operations may be added completely from within in <br /> the system. Only the Campground Flash map interface (Graphic and HTML Image Map coding) are not <br /> automatically generated by the system - all other associated web pages, both public and administrative are <br /> created and removed when items are added or deleted. <br /> In addition to reservation management, the System will also include an integrated e- commerce system <br /> allowing for the sale of products from the main administrative site or client sites /centers. <br /> Various administrative user levels are offered allowing top -level administrative staff the ability to grant or <br /> curtail rights to view and edit program, site and center information. <br /> Business rules that Redwood City Parks and Recreation ( "RCPRCS ") has implemented, such as the <br /> number of consecutive reservations a person may make, refund requirements and how far in advance a <br /> person may reserve a property, can be supported through validation programming within the system. <br /> As well as a free - standing web -based reservation and registration system, this solution will deploy a <br /> browser -based Call Center area located within the Administrative intranet. The call center will facilitate the <br /> efficient creation, review and revision of reservations and registrations. The call center will also be <br /> available to on -site Parks and Recreation staff to handle Walk -Up sales, reservations and registrations. <br /> Credit card transactioning is built into the system. The public Reservation System, Call Center and <br /> Administrative Intranet transaction areas will interact directly with the RCPRCS's processor - eliminating <br /> any re-entering of payment information by RCPRCS staff. <br /> Y 9 p Y Y <br /> The system also includes a reporting system. Daily, Date Range (ad -hoc) and Monthly reports detail <br /> financial transactions, reservation /registration activity, customer list builder and customer information for <br /> each site. Specific, formatted transaction receipts and reports will be created conforming to RCPRCS <br /> standards. <br /> Some features of the ublic online <br /> reservation t <br /> p system include: <br /> • Search functionality with customizable filters that narrow results and enable users to search by a <br /> variety of variables. <br /> • Facility, program and day use search, information and registration. <br /> • Flash and Non -Flash format Map interfaces allowing the public to see the layout and proximity of a <br /> specific site as compared to other sites and facilities. <br /> • Photo and descriptive information on each site lets users see the view and specifications of a site <br /> beforehand. Users do not require as many phone calls to campsite or staff. <br /> • Flexible payment options allow customers to pay (by credit card) online or make a reservation and <br /> mail in their payment. <br /> • An emailed receipt goes out to every customer who registers online with important information <br /> such as directions, confirmation number and rules. <br /> • Customers may return to review their reservation any time and may access a mini - report on all <br /> their transactions with RCPRCS. <br /> 2 <br />
