Task 2b: Conduct Public IU�eeting <br /> A public meeting will be held in early 2012 to inform the public about the project and process and obtain <br /> meaningful input regarding the environmental process. The meeting format will be an open house style <br /> that includes a formal presentation followed by questions/answers. The project team will be responsible <br /> for planning and staffing all aspects of the public meeting. <br /> s Public meeting preparation & materials development <br /> - Reserve appropriate venue that is convenient to the project and will accommodate projected <br /> meeting attendance <br /> • Compile mailing list <br /> - Follow-up calls/emails to key stakeholders <br /> • Draft agenda <br /> - Prepare meeting sign-in sheets <br /> - Develop and distribute public meeting notice that provides information about the process and <br /> contacts for additional information <br /> • Prepare and place newspaper advertisement that provides information about the public meeting <br /> and contacts for additional information <br /> • Comment cards that can be turned in at the public meeting or returned by mail <br /> • Informational boards to be displayed at the public meeting that provide visual information on a <br /> large scale, including maps, process descriptions, project purpose & need, environmental review <br /> process and public input opportunities <br /> - Prepare PowerPoint presentation for delivery at the public meeting <br /> ■ Conduct public meeting <br /> • Staff and facilitate meeting – ICF will set up meeting venue, greet attendees, staff informational <br /> table, facilitate meeting <br /> • Compile comments—following the meeting, ICF will compile comments for a staff report <br /> Task 2c: Planning Commission Study Session <br /> ICF staff will assist Redwood City staff in preparing for and conducting a study session to review the <br /> results of the environmental analysis and public comments received on the project at a regularly <br /> scheduled Planning Commission meeting (expected to be first quarter 2012).
