7.1.B. - Page 6 <br /> . Quality management (see 4. QualityAssurance and Project Integration below) <br /> • Risk management (see 5. Risk Management below). <br /> The Project Management Plan shall be presented to the Project team for acceptance as <br /> a baseline document. As changes are requested or required, or both, they shall be <br /> processed in a consistent, integrated change control manner and the resulting updated <br /> Project Management Plan elements will be distributed. <br /> 2. Project Communications <br /> Consultant will be responsible for managing Project communications among the team <br /> members, reporting of specific information and performance metrics to City departments <br /> and management, dissemination of information to stakeholders and the general public, <br /> and coordinating with City staff to obtain necessary assistance. <br /> Consultant shall be involved in face-to-face Project status meetings and Project team <br /> meetings, web or video conferences, phone calls, and e-mail, using customary <br /> guidelines and templates used by City. Consultant shall report Project performance and <br /> progress to City departments, management, and officials using formal monthly <br /> exception reports, quarterly progress reports, and complementary computer slide <br /> presentations. Consultant shall provide status updates to key stakeholders using e-mail <br /> in a customary format used by City. Consultant shall work with the City's public <br /> communications department to support its preparation and posting of Project status <br /> updates and documentation on City's website. <br /> 3. Scope, Budget and Schedule Control <br /> Scope Control - Consultant shall use critical elements of the Project scope contained in <br /> the PA&ED consultant's agreement with City to manage and control the Project scope. <br /> Consultant shall prepare a summary-level baseline scope statement, referencing and <br /> including the PA&ED consultant's scope of technical services, for use in controlling <br /> scope. Consultant shall continuously assess the variation from the baseline scope, <br /> including cause and degree and considering if corrective or preventive action is <br /> required. Consultant shall review and analyze potential changes required or requested, <br /> and process formal changes in a consistent, integrated change control manner. <br /> Schedule Control - Consultant shall use the PA&ED consultant's schedule to develop a <br /> summary-level baseline schedule statement, which in turn will reference the PA&ED <br /> consultant's detailed schedule. Consultant shall also use the PA&ED consultant's near- <br /> term look ahead schedule that addresses individual critical activities. Consultant shall <br /> prepare a simplified milestone schedule table or chart to monitor the overall schedule, <br /> and include enough details to reflect critical activities and sub-activities that are near- <br /> term. <br /> Consultant shall continuously assess the status of the Project schedule with respect to <br /> known and potential risks, and work to manage critical factors that might create <br /> REV: 10-01-13 VR <br /> Page 4 of 7 <br />
