It is assumed that the CITY staff will handle the community meeting noticing and logistics— <br /> Newspaper announcements, e-mail notices to community groups, securing the meeting facility, <br /> etc. CONSULTANT will set the agendalformat of the meeting, prepare presentation/meeting <br /> materials including project e�ibits, facilitate the meeting, and write up the results. <br /> CONSULTANT will staff the meeting and generate a community awareness about attendance. <br /> CONSULTANT will prepare far and attend up to 15 Community stakeholder meetings as needed <br /> (groups might include businesses along road corridors, homeowner groups, the Port of Redwood <br /> City, BPAC, etc.). CONSULTANT will develop format and questions for stakeholder meetings <br /> as well as draft meeting summaries for the stakeholder outreach. There is one round of edits <br /> assumed for each meeting summary. <br /> CONSULTANT will provide interpretation services (Spanish only) at stakeholder meetings as <br /> necessary. <br /> CONSULTANT will prepare for and attend up to five Community Leader Stakeholder meetings <br /> (Mayor, County Board of Supervisor, Planning Commission Chair, Port Commission Chair, <br /> Assemblyman) CONSULTANT will develop format and questions for stakeholder meetings as <br /> well as meeting summaries for the stakeholder outreach. There is one round of edits assumed for <br /> each meeting summary. <br /> Task 10.5-Web Survey <br /> CONSULTANT will write a public survey and provide a link that can be put on the CITY's <br /> website. An on line survey is a very flexible platform for providing information about and <br /> collecting input on a wide range of planning projects. It enables the public to explore and provide <br /> feedback using a variety of input techniyues. It is expected that a draft survey will be developed <br /> once alternatives are available for the stakeholders to weigh in on. At least a dozen questions will <br /> be developed for community input. Depending on survey technology chosen, the rankings could <br /> include ranking, rating, map input, comments and scenario/tradeoff exploration/voting. The draft <br /> survey in word format will be developed by CONSULTANT and will include one round of edits <br /> by the CITY. Then the formal draft survey tool will be developed by the CONSULTANT and <br /> include a subsequent round of edits by the CITY. Consistent with other CITY on line materials <br /> the survey will be conducted in English. Translation of the web material to any other language is <br /> not included. The survey will be available on line far at least two weeks. The survey results will <br /> be compiled by the CONSULTANT into a draft PowerPoint for use by the CITY. There will be <br /> one round of edits to the PowerPoint. <br /> Task 10.6-Database <br /> CONSULTANT will prepare (in coordination with the CITY) a database listing of <br /> interested/concerned stakeholders to be used in conjunction with distribution of materials and <br /> required noticing. One database will be prepared and updated up to two times, if needed. <br /> Task 10.7-Hotline and Speakers Scheduling <br /> CONSULTANT's local contact will be available to answer phone and web requests for <br /> scheduling CITY /CONSULTANT team staff to speak at meetings such as Rotary, Chambers <br /> ATTY/AGR/2013.164/URS PROFESSIONAL SERVICES AGR <br /> REV:10-15-13 VR <br /> Page 55 of 78 <br />
