At the conclusion of the kickoff meeting, the Consultant shall prepare minutes and <br /> distribute them to all meeting participants. Consultant shall also prepare and e-mail a <br /> project contact list based upon the sign-in sheet at the meeting and business cards <br /> collected. Consultant shall also prepare meeting minutes for design progress review, <br /> pre-bid and pre-construction meetings, as needed. <br /> This task also includes performing quality control reviews and quality assurance of the <br /> submittals from the team. <br /> ❖ Deliverables: Schedule,Meeting minutes. <br /> Task 2: Research. Survevina, and Conceatual Plans and Estimates <br /> In this task, the Consultant shall conduct field reconnaissance, pertorm topographic <br /> surveys, send out utility request letters, and develop alternatives for the intersection <br /> improvements. <br /> The Consultant shall visit the project site(s) for reconnaissance purposes within one (1) <br /> week of Notice to Proceed. <br /> Consultant shall coordinate the project design with affected utility companies and <br /> prepare permit applications; the City is responsible for all permit fees. Consultant shall <br /> conduct research of all existing utilities within the project limits to identify, locate, and <br /> accurately lay out all above ground and underground utility improvements. All existing <br /> utility maintenance holes, valve boxes, splice boxes, monument wells, etc. shall be <br /> accurately shown on the plans and field documents. This effort shall be facilitated by <br /> preparing the Utility A letters and requesting all utility companies provide their field <br /> records. <br /> Consultant shall identify all utilities that could potentially conflict with the project and <br /> determine special requirements for facilities including protection, relocation, right-of- <br /> way, easements, and construction. Each utility company shall receive a preliminary set <br /> of plans that provide the location and utility and improvement elevations indicated by a <br /> clouded area. <br /> Consultant shall perform a topographic and boundary survey of the subject areas in <br /> sufficient detail as to allow for the preparation of the project improvements identified in <br /> the grant. The limits of the survey shall be extended a sufficient distance to allow for the <br /> design of appropriate transitions at the termination points of the project improvements. <br /> The Consultant shall develop conceptual drawings (35% design)for the areas shown in <br /> the RFP concept drawings. <br /> The Consultant shall prepare an itemized 35% cost estimate of the conceptual civil <br /> drawings described above. Said cost estimate shall then be evaluated and compared to <br /> the available grant funding.
